The Office of Academic Support and Disability Services (OASDS) is the focal point for meeting the needs of students with disabilities. OASDS provides all students with supportive educational services (such as tutoring) and reasonable accommodation for students with disabilities. The Office assists students with the academic, professional, social, and emotional foundations necessary to embark on successful careers and productive lives as artists, leaders, and citizens.

FAQs (Frequently Asked Questions)

What Is A Disability

The Americans with Disabilities Act (ADA) defines a disability as a physical or mental impairment that substantially limits one or more major life activities; this includes having a record of such impairment, even if the disability is not current or active.

Who Can Request Disability Accommodation  

Any new, current, or prospective student (including international students) can request accommodations. The request is more likely to be approved when: 

  • The student has a documented physical or mental impairment that substantially limits one or more major life activities.  

  • The student has a record of an impairment, even if they do not currently have a disability. 

  • The student is returning from a leave of absence. 

  • The student has health or physical abilities that are altered during their educational tenure, resulting in a permanent or temporary disability. 

If a student does not have documentation of a disability or has never been diagnosed with a disability, they may still discuss their circumstances with OASDS. In some cases, OASDS may offer a referral for an assessment. 

New Students: We urge students to contact OASDS before the beginning of the semester so that accommodations can be in place when the semester starts. However, students are welcome to register at any time. 

Current Students: Students are encouraged to register with OASDS at any point in their educational tenure.  

Prospective Students: Students are welcome to meet with the Director of OASDS at any point during their college selection process to receive information and discuss the accommodation process. 

Visiting Campus: If a disability accommodation is needed for a visit to the Juilliard campus, a meeting, or an audition, please make an accommodation request via OASDS at least two weeks in advance. Please email [email protected] or submit a Disability Accommodation Request via the Juilliard Accommodate Portal after August 15th, 2023. 

What Is The Process For Requesting Disability Accommodations 

Requesting disability accommodation is an interactive, voluntary, and confidential process that begins once a new, current, or prospective student completes the following process. Disability accommodations are not retroactive and begin once a professor receives an official notice via an accommodation letter. 

A student seeking disability accommodation must start that process with OASDS and may not make individual accommodation arrangements with a faculty member without completing the Disability Accommodation Request process. 

Is This Process Private And Confidential

Yes. All records are securely stored in the Juilliard Accommodate Portal separately from the student’s academic and medical records and are never included in any "permanent" record. Only qualified OASDS staff have access to this information. However, information may be disclosed to appropriate parties if: 

  1. The student has a health or safety emergency. 

  1. The information is necessary to protect the health or safety of other individuals. 

  1. We have written permission from the student. 

  1. We receive a court order or legal subpoena. 

  2. Confidential information does not go on a student's "permanent" record.

What Types Of Supporting Documentation Can Be Submitted 

Students may submit all supporting documentation via the Juilliard Accommodate Portal by attaching it to the submitted disability accommodation request. 

Juilliard accepts supporting documentation in the forms of: 

  • Assessments 

  • IEP's 

  • 504 Plans 

  • Past letters of accommodations 

  • Letters from qualified medical or mental health professionals 

 

If submitted in the form of a letter, supporting documentation must be on professional letterhead and should contain the following information: 

  • Diagnoses of all disabilities for which accommodations are requested, including elaborations on the treatment(s), medication(s), assistive device(s), and service(s) prescribed or recommended 

  • A list of the functional limitations that the student will experience in an academic environment as a result of the documented disability, including a brief description of the impact of the disability over time (i.e., is the effect permanent or temporary?) 

  • Any suggestions for reasonable academic accommodations related to the disability 

  • Qualified Healthcare Professional License #

  • Signature of the Qualified Healthcare Professional

 

In addition to the information mentioned above, documentation should include the license number and credentials of the diagnosing professional(s) and the date the evaluation was completed. Please note that IEPs or 504 Plans do not automatically qualify a student for disability accommodation and, in some cases, may not provide the information necessary to indicate a need for accommodation. 

When Should I Request Accommodations 

Ideally, students should submit requests four to six weeks before the start of the semester in which they would like to use the accommodation. However, students may request disability accommodation at any time. Please note that disability accommodations are not retroactive and begin once a faculty member has been notified of a student’s approved accommodation via the Juilliard Accommodate Portal. Faculty will receive an email asking them to view each new accommodation letter directed to them.  

We urge students to make accommodation requests as soon as a need is recognized, or knowledge of the condition has been recorded, observed, or assessed. Accommodation requests must be made with enough time to be reasonably implemented. When a student does not have supporting documentation or has never been diagnosed, the student is invited to schedule a meeting with OASDS to discuss their circumstances and explore possible referrals for assessment.

What Happens After A Request Is Submitted And The Intake Meeting Is Completed  

The student will receive an email with a link to their request updates via the Juilliard Accommodate Portal.  

How Do I Request A Disability Accommodation 

  1. Submit a completed Disability Accommodation Request via the Juilliard Accommodate Portal. Use your single sign-on access by logging into your Juilliard Okta account and clicking on the app in your dashboard. The app’s icon is the word “Accommodate” in blue.   

  1. Submit all supporting documentation.  

  1. Schedule and complete an intake meeting with an OASDS representative. Intake appointments may be conducted via Zoom, phone, or in person.  

  1. Review Juilliard's Confidentiality Policy and Grievance Procedure to familiarize yourself with students’ rights and responsibilities.  

  1. If your request is approved, you will receive a confirmation email containing a link to the Juilliard Accommodate Portal, where you can view your accommodation(s) and follow up steps.  

  1. Upon receiving an approval notification, you must again sign into the Juilliard Accommodate Portal and self-direct which accommodations you would like to send to which professors. Remember, disability accommodations are not retroactive and begin once a professor receives an official accommodation letter.  

By signing and submitting a Disability Accommodation Request, supporting documentation, and related materials, the student affirms that the information provided is complete and accurate and that they have read and understood the information supplied by OASDS and related Juilliard policies and procedures. 

How Will I Know If My Accommodation Request Has Been Approved

Upon approval of a disability accommodation: 

  1. The student will receive an email notification with a link to the Juilliard Accommodate Portal to view an approved accommodation (OASDS does not list the diagnosis in this letter). 

  1. Via Juilliard Accommodate, the student must select which accommodation notices go to an individual or all professor(s). 

  1. The accommodation begins once the professor has received the student's accommodation letter for the class via Juilliard Accommodate. 

What Happens If I Disagree With The Outcome Of My Accommodation Request

Students are allowed to initiate a grievance by observing the Disability Grievance Procedure provided in the Links and Policies tab.

Academic Support - Tutorials

What Are Tutorials 

Tutorials are private one-on-one sessions with a tutor. They are available in most departments to support eligible students in meeting their curricular requirements. Tutorials are processed by the Office of Academic Support and Disability Services (OASDS) in conjunction with the Office of Academic Affairs. The class instructor selects tutors who are typically graduate students or advanced upperclassmen who have worked with the instructor or the department. Occasionally, a faculty member may be approved to tutor a student.  

What Is A Tutorial Request 

A tutorial request is an official request for tutoring via OASDS. After a student and faculty member discuss the need for tutorials, the faculty member submits a OASDS Tutorial Request To complete a tutorial request, the faculty member, the student, and the tutor must digitally provide their signatures on the online form. Once approved by OASDS, tutorials occur weekly and are set up on a semester-by-semester basis. 

 

How To Request A Tutorial 

  • The student should discuss the need for tutorials with the Course Instructor or Department Chair. 

  • The faculty member submits a OASDS Tutorial Request and discusses the need with the Associate Provost for Academic Affairs. 

  • Once the request is approved by OASDS, the tutor and the student will each receive a “Tutorial Contract” email requesting their electronic signatures. 

  • When both parties have signed, the tutor and the student will receive a “Tutorial Confirmation” email with information on the responsibilities of each party.  

  • The tutor will receive instructions and links to complete the hiring process and instructions to submit bi-weekly Tutorial Reports and create or update a timecard of hours worked in the CADENCE portal. 

Please note that students receiving tutoring will pay a reasonable rate out-of-pocket to their tutors unless the school determines that the student has sufficient financial or disability-related needs, in which case the school will cover the tutoring cost. Tutorials are set up on a semester-by-semester basis. 

What Is The Responsibility Of The Tutored Student 

Tutored students are expected to: 

  • Honor the Tutorial Contract 

  • Request and commit to all scheduled sessions with the tutor  

  • Attend all sessions, arrive promptly, and come prepared 

Students should treat tutorial sessions like private studio lessons. If, for any reason, the student is unable to attend, they must contact their tutor at least 24 hours in advance. Students must notify their tutor to avoid being billed for missed sessions. OASDS only allows one missed tutorial per semester. Disregarding these responsibilities may be reported to the Scholastic Standing Committee and may result in a termination of the tutorial. 

What is the Responsibility Of The Tutor 

Tutors are expected to: 

  • Confirm scheduling requests for tutorials from the student 

  • Arrange for a room (or app for remote tutoring) 

  • Prepare assignments in conjunction with the class instructor 

  • Create or update a bi-weekly timecard of hours worked in the CADENCE portal and concurrently submit online Bi-Weekly Tutorial Reports via the OASDS Tutorial Report form. 

Tutors must complete a separate online Tutorial Report for each student. Tutors can only be paid once they have submitted their Bi-weekly Tutorial Reports and hours worked into Cadence. These reports are a critical tool in monitoring the student's progress. They will be shared with the Office of Academic Affairs.

 

Fees

Base pay for student tutors is $25.00 per hour.
Base pay for faculty tutors is $75.00 per hour.

Payment of Fee

Students do not pay tutors directly. Once the tutorial has been approved, OASDS will arrange payment. Student-paid tutorials will be billed through the Bursar's Office (via the student’s tuition account for the designated fee unless a different arrangement has been authorized).

Student Tutors are paid bi-weekly. Regular reminder notifications are sent from the Student Employment Manager, Financial Aid.

Student Tutors: To be paid for tutoring services, student tutors must first complete an OASDS Tutor job application (the invitation is sent via email upon signing of the Tutorial Contract). 

Once tutoring begins, student tutors must do both of the following bi-weekly: 

  1. Create or update a timecard of hours worked in the CADENCE portal 

  1. Submit a Tutorial Report via the OASDS Tutorial Report form 

 

Faculty Tutors are paid monthly. 

Faculty Tutors: To be paid for tutoring services, faculty tutors must submit all hours worked via the OASDS Tutorial Report form for each student once per month (before the 15th). Tutorial reports submitted after the 15th will result in a delay of payment until the next month’s pay cycle.

Auditioning, College, International, Preparatory College, and Extension Students may request disability accommodation by

  1. Submitting a completed Disability Accommodation Request via the Juilliard Accommodate Portal. Use your single sign-on access by logging into your Juilliard Okta account and clicking on the app in your dashboard. The app’s icon is the word “Accommodate” in blue.   

  2. Or by submitting via the public Disability Request Form. With the exception of Auditioning students, this form only works if you are submitting a request for the first time.

  1. Students must submit all supporting documentation.

What Is Juilliard Accommodate 

Juilliard Accommodate is a secure disability accommodation management platform created for student and faculty engagement with all aspects of student disability accommodations.  

Students registered with OASDS can securely access the Juilliard Accommodate portal 24 hours a day, seven days a week on any device with a Wi-Fi connection and will be able to: 

  • Have access to past and present disability accommodation letters 

  • View a personalized home page 

  • Download copies of their accommodation letters 

  • Renew an accommodation for a semester 

  • Request additional accommodations throughout the year 

  • Self-select which accommodation(s) will go to which individual professors 

  • Upload supporting documentation 

  • Schedule appointments with an OASDS advisor 

  • Schedule approved tutorial appointments 

  • Opt-in to receive text notifications

Please note that to improve our ecological footprint, consolidate information, and streamline the disability accommodation process, OASDS will no longer accept paper documents. All disability accommodation requests and supporting documentation must be uploaded into the Juilliard Accommodate portal or emailed to [email protected]. 

When Can Students Make a Disability Accommodation Request In Accommodate 

Students may request disability accommodation 24 hours a day, 7 days a week, at any time throughout the year. Disability accommodations are not retroactive and begin once a faculty member has received an official accommodation letter

Juilliard Accommodate Accessibility Settings 

Juilliard Accommodate has an Accessibility Mode that the user can turn on. We recommend Accessibility Mode for users with visual impairments or using assistive technologies (such as screen readers). In Accessibility Mode, some interfaces will be formatted differently for optimal compatibility, though all functionality and content are comparable. 

 

Before logging in, users can turn on Accessibility Mode by selecting the three (3) vertical dots in the top right of the login page. 

Is Juilliard Accommodate Confidential And Safe

Students and faculty have private and secure access to the Juilliard Accommodate portal via their Juilliard.Okta.Com single sign-on username and password. We urge all never to share their username or password.

Students’ confidential information is kept secure and separate from their academic and medical records. The data is never a part of a student's permanent record and is stored with OASDS for up to seven years.  

Requesting Disability Accommodation In Juilliard Accommodate 

The accommodation process begins when a student submits a Disability Accommodation Request. 

  • Students requesting disability accommodation for the first time should complete the Disability Accommodation Request form. Please fill in all required information, attach any supporting documentation, and click submit 

  • Students already registered with OASDS should log into the Juilliard Accommodate portal via their Juilliard.Okta.Com single sign-on username and password (this should happen at the beginning of of each semester to renew their accommodations and select which professors should be notified of them. 

How To Access Juilliard Accommodate 

Students can access Accommodate 24 hours a day once an initial Disability Accommodation Request Form has been submitted.

  1. Once the letter is open, two buttons at the top or bottom allow you the option to “Print” or “Generate a PDF” of the accommodation letter. 

  1. To return to the complete list of letters, select the "Cancel" button. 

How To Send Faculty Members A Disability Accommodation Letter 

Via Juilliard Accommodate, students can direct OASDS to notify their professor(s) of their approved disability accommodation(s). Students can send a complete list of their disability accommodations to all their professors or a single accommodation or select list to an individual professor. 

 

  1. Open a web browser (Google Chrome, Firefox, Safari, Edge). Note: Internet Explorer is not recommended.  

  1. Use your single sign-on access by logging into your Juilliard Okta account and clicking on the app in your dashboard. The app’s icon is the word “Accommodate” in blue. 

  1. Select the Accommodation tab on the home page under the Home tab. 

  1. Under the Accommodation tab, select Send Faculty Accommodation Letters.” 

  1. Click the “Add New” button located below the “Apply Search” button. 

  1. Select the semester for which the accommodation will apply. 

  1. Choose one of the following options: 

  1. Select Send to All Faculty For This Semester to notify all your semester’s professors of every approved disability accommodation 

  1. Select Send to Select Faculty to choose an individual professor to notify of a select approved disability accommodation. 

  1. For each approved accommodation, place a check in the box for each course in which you would like to use that accommodation. Leave the checkbox empty if you do not want to use that accommodation in that course. To ensure you don’t miss a registered course, scroll to the bottom of the page. 

  1. Select Submit. 

  1. Note: once a Faculty Notification is sent, a copy of your letter will be forwarded to your selected faculty within 48 hours. 

 

IMPORTANT - if you add a new class after sending a faculty notification, you must select the Additional Request tab to direct an accommodation letter to your new faculty member.If an additional request is approved, you must sign back into the Juilliard Accommodate Portal and select which professors you want to be notified of the new accommodation. 

How To Renew Previously Approved Accommodations For A New Semester 

Students must renew their previously approved disability accommodations at the start of each semester. To renew previous accommodations or make any changes or additions, please complete the request as soon as possible. Accommodations are not retroactive, so submitting your request at least two weeks before starting the semester is always in your best interest.

  1. Select “Add New.” 

  1. Your approved accommodation(s) should be listed. 

  1. Select the semester for which the accommodation will apply. 

  1. Choose one of the following options.  

  1. Click “Submit.” 

  1. Select “Send to All Faculty For This Semester” to notify all your semester’s professors of every approved disability accommodation.  

  1. Select “Send to Select Faculty” to choose an individual professor to notify of a select approved disability accommodation. 

  1. For each approved accommodation, place a check in the box for each course in which you would like to use that accommodation. Leave the checkbox empty if you do not want to use that accommodation in that course. To ensure you don’t miss a registered course, scroll to the bottom of the page. 

  1. Click “Submit.” 

Once you direct a Faculty Notification to be sent, OASDS will release a copy of your letter to your selected faculty within 48 hours. 

Course Change Or Addition: How To Notify New Faculty Of Accommodations  

To inform a new or additional faculty member after adding or changing a course, you must select “Notify Your Faculty” from the “Accommodation” tab on your Accommodate Home page and continue the directions from #8 listed above.

The new course should appear in your course listing. If it does not appear after two days, please contact OASDS. 

How to Request Additional Accommodations During the Semester 

  1. Open a web browser (Google Chrome, Firefox, Safari, Edge). Note: Internet Explorer is not recommended.   

  1. Use your single sign-on access by logging into your Juilliard Okta account and clicking on the app in your dashboard. The app’s icon is the word “Accommodate” in blue.  

  1. Select the Accommodation tab on the Home page under the Home tab. 

  1. Under the Accommodation tab, select Additional Requests. 

  1. Click the “Add New” button located below the “Apply Search” button. 

  1. Provide answers to the three questions asked and include any additional information needed. 

  1. Select “Add Item” to upload any supporting documentation. 

  1.  Click “Submit” to send or “Save” to return and complete later. 

Once an additional request is approved, students should sign back into the Accommodate Portal and self-direct which professors to notify of the new accommodation. 

  1. Select “Send to All Faculty For This Semester” to notify all your semester’s professors of every approved disability accommodation.  
  2. Select “Send to Select Faculty” to choose an individual professor to notify of a select approved disability accommodation. 
  3. For each approved accommodation, place a check in the box for each course in which you would like to use that accommodation. Leave the checkbox empty if you do not want to use that accommodation in that course. To ensure you don’t miss a registered course, scroll to the bottom of the page.

  1. On the Home page, select the Appointment” tab from the navigator bar on the left side of the page. 

  1. Click on “Request New Appointment” (located at the bottom of the page). 

  1. Click on “Choose” and select the appropriate Type of Appointment. 

  1. Click on "Select" and choose beginning and ending dates under Date Ranges.” 

  1. Click on “Select” and choose beginning and ending times under “Time Ranges. 

  1. Click on the Location dropdown and choose a location for the appointment (in person, virtual, or by phone). 

  1. Check the name of the OASDS Advisor with whom you would like to meet. 

  1. Check all the days you are available (for your chosen time range) during the week.  

  1. Click the “Check Availability” button at the bottom of the page. 

  1. Available dates will appear on the screen to the right of the information entered.  

  1. Click on your selected advisor’s name with your preferred date and time. 

  1. A new pop-up window with your preferred date and time and two additional empty boxes at the bottom will appear in the box labeled What's this appointment regarding?  

  1. Type in the reason for your appointment. 

  1. In the box labeled "Additional Notes," type any additional information you would like your advisor to know. 

  1. Click “Submit Request” at the bottom of the pop-up window.

The disability accommodation process and the information stored on the Juilliard Accommodate portal are secure and confidential. They will only be accessible by qualified OASDS staff. What Is Juilliard Accommodate 

Juilliard Accommodate is a secure disability accommodation management platform created for student and faculty engagement with all aspects of your student’s disability accommodations.  

Via the Juilliard Accommodate Portal, Faculty Members: 

  • Have a personal home page  

  • Can review and digitally sign accommodation letters (without needing to print, scan, and return them)  

  • Can view all the disability accommodations for every student in their course(s) in the current semester in one location  

  • Have access to the portal 24 hours a day, seven days a week, on any device with a Wi-Fi connection 

To improve our ecological footprint, consolidate information, and streamline the disability accommodation process, OASDS will no longer accept signed paper accommodation letters. All disability accommodation requests, and signed letters must be processed through the Juilliard Accommodate portal. 

How To Log In To The Juilliard Accommodate Portal  

Faculty can access Juilliard Accommodate 24 hours a day, seven days a week. To log in:

  1. Use your single sign-on access by logging into your Juilliard Okta account and clicking on the app in your dashboard. The app’s icon is the word “Accommodate” in blue. 

  1. After logging in, you will see your Faculty Accommodate Home page.  

Your Faculty Home Page Features  

  • Once you are logged in to Accommodate, we suggest you bookmark your home page.  

  • On the left side of the home page, you can visit the tab selections available:  

  • Accommodation Letters – Includes all Accommodation Letters sent to you from current and past students  

  • Courses – Includes all past and present courses, course details, and enrolled students  

  • Surveys – For surveys in which you are invited to participate   

  • Resources – Includes a Document Library with OASDS resources such as the Attendance Policy and procedures for most approved accommodations 

  • Captions Requests – for assistance with captioning videos, movies, or events 

  • My account – for account details and settings  

  • In the middle of the home page, there are “Getting Started” and “News Feed” sections. The “Getting Started” section will display any pending tasks for account setup. Please complete any unfinished tasks in this section.  

  • Below the “Getting Started” tab, check the “Account Created” tab.  

  • Below the “Account Created” tab, please select “Personal Profile” and update or confirm your information  

  • Below the “Personal Profile” section is the “News Feed” section, which will include updates, reminders, or announcements from OASDS. 

Juilliard Accommodate Faculty Tab Guide 

  1. The “Home” Tab brings you back to your home page. 

  1. The “Accommodation Letters” Tab displays accommodation letters and is where the faculty signatures are requested. You can select a letter to add your signature. After you have signed and saved the letter, the student’s information will be updated with the date and time of signature. 

  1. The “Courses” Tab provides a list of your current and past courses. Clicking on a course will display course details and the option to view Enrolled Students, Room Bookings, Exams, and Course Notes.  

  1. The “Survey” Tab holds a history of any surveys completed. 

  1. The “Resources” Tab provides training and information on accessibility resources for faculty. 

  1. The “My Account” Tab is where you can update or edit the information in your personal account. 

Juilliard Accommodate Accessibility Settings  

To assist with website accessibility, the Juilliard Accommodate portal has a User Accessibility Mode that users can turn on. We recommend Accessibility Mode for users with visual impairments or using assistive technologies (such as screen readers). In Accessibility Mode, some interfaces will be formatted differently for optimal compatibility, though all functionality and content are comparable.

When And How Will I Be Notified Of A Student’s Disability Accommodation 

  • Students may submit disability accommodation requests at any point throughout the year but are encouraged to submit them early. OASDS urges that students make requests and renewals early and at least two to three weeks before a semester starts or immediately upon the notice of the need.   

  • Once a student has sent you a copy of their accommodation letter via Accommodate, you will be notified by email. Disability accommodations are not retroactive and begin once the student officially notifies the faculty member by sending an OASDS accommodation letter via Accommodate.  

  • Students may request a new disability accommodation or renew previously approved accommodation at any time throughout the academic year. 

  • Every semester, students approved for disability accommodations must renew, confirm, and direct their accommodation(s) to individual faculty members via Accommodate.  

  • At any time throughout the year, you may be notified of a new accommodation via an email that links to the Juilliard Accommodate portal, where you can access students’ accommodation letters. OASDS encourages faculty and students to meet and discuss the accommodations listed. 

How To View Student Accommodation Letters

  1. Click on the "REQUESTED" link of any "Approved Disability Accommodations" for the student listed in the center page's lower half.  

  1. Scroll through and read the entire document. 

  1. At the end of the document, there is a signature box, and below it are four buttons labeled Save, Print Letter, Generate PDF, and Cancel:  

  1. Signature BoxType your name in the signature box  

  1. Save – Click the “Save” button to save your signature  

  1. Print Letter – To print the letter (This is no longer necessary for signing or record-keeping because faculty have 24-hour access to the document via Accommodate. If you print the letter, you must store it in a secure and private location.)  

  1. Generate PDF – To generate a PDF copy of the letter (If you save it to PDF, it is your responsibility to store it in a secure and private location)  

  1. Cancel – Will cancel anything you have selected without saving and return you to the “Accommodation Letters” tab  

How To View Students Who Have Accommodations In Your Course(s)

  1. Select “Enrolled Students” to view all students enrolled in your course(s) with any accommodations listed directly under each student's name. If a student has accommodations not directed to you for the semester, it will read Accommodations: No Course Accommodations.   

  1. You can also set filters to only see students with accommodation in a specific course. 

How to View an Individual Student’s Accommodations in Your Course(s)

Juilliard Faculty and Staff Guidance

  • OASDS understands that not all accommodations will apply to all course contents. If you have specific questions about how to accommodate a student in the context of your course, please contact OASDS staff so we can work together to find the most applicable accommodation(s). 
  • OASDS staff cannot disclose the type of disability that the student has registered for without written permission from the student due to privacy laws. However, we can discuss the students’ accommodation and work together to help you figure out how to implement their accommodation in your classroom. 
  • Students are required to self-identify a need for disability accommodation to OASDS by formally requesting disability accommodation.

  • Faculty are only required to provide accommodation to a student once they have received official notice from OASDS listing the student's approved accommodations.
  • Faculty are urged to contact OASDS if a student discloses a disability. Additionally, please refer the student to the OASDS webpage to register with OASDS and request a formal disability accommodation.   

  • We ask that faculty members never ask students what type of disability they have. However, we encourage discussing plans to apply the approved accommodations in the course.

  • We ask that faculty members always have conversations about a student's disability accommodation in private and refrain from sharing knowledge of past accommodations with peers and staff.

How can I let students know about Juilliard’s disability services and policies?

Ally: Within Canvas, students have the option to download accessible versions of course files in their preferred format to suit the needs of their learning and/or device. Ally is an accessibility tool seamlessly integrated into Canvas. It creates alternative formats for course content in Canvas and allows students to download a preferential and more accessible version of their materials. The accessible version is only as good as the original. Thus, we urge content creators to upload their most accessible documents. At this time Ally does not work with written music content. 

Kurzweil 3000: Kurzweil 3000 is a free digital text-based content and literacy tool that turns text into speech via dictation. It has reading voices for 12 languages and various accents and translations. Kurzweil supports most digital content: eBooks, WORD.doc, PDFs, and webpages can be read aloud to listeners at their preferred pace and in their preferred language. Navilens: The NaviLens phone app is an accessible sign and wayfinding system. It works via a free phone app. Traditional building signs can be difficult for people with vision impairments to access, particularly in unfamiliar environments. As you navigate the Juilliard Campus, you will see signs with unique colored QR codes. With the NaviLens app, you can scan these codes for instant information on a room or office, your environment, location, points of interest, and distance to other codes. Information is presented visually, audibly, or by haptics. These codes will be limited as we ultimately work to support the entire campus with Navilens in phases.

Ally Guide

CANVAS - Canvas is a web-based learning management system (LMS) used by Juilliard to allow educators and students access to online course learning materials and communication. Via the integrated tool “Ally,Students can find a download icon next to all files within a Canvas course. Upon clicking the icon, a dropdown menu will allow them to select an array of downloadable alternative formats.  

 

ALLY 

To ensure students have access to course learning materials in a format that works for different devices, learning needs, and preferences, Juilliard's CANVAS Learning Management System includes an integrated accessibility tool called Ally. Ally allows students to download alternative, more accessible versions of course materials uploaded into CANVAS.

Ally creates alternative formats of your course content based on the original. These formats are made available with the original content so students can find everything in one convenient location. Faculty do not need to create alternative formats, as the Ally tool does this automatically.

Accessible documents are an essential step toward the universal accessibility of a course. Ally allows students individual and bespoke access to course content in alternative formats, lessening faculty responsibility. Alternative formats benefit all students. 

For the best alternative option, the original document must be as accessible as possible when it is uploaded into CANVAS. Otherwise, certain download options may not be available or may have accessibility issues. Outside of enlargement, Ally does not work for downloading an accessible version of written music.

Ally is better able to create accessible alternative options when the original document has been created with accessibility in mind. If a document has a low accessibility rating, Ally will provide faculty with specific instructions on how to remediate the document to improve its accessibility. Over time, this process can help faculty members improve the accessibility of their course content.

The accessibility ratings of course materials are only visible to the instructors and Ally administrators (OASDS).  

We encourage faculty to add the following information to their syllabi to help inform students of the accessibility options available to them: 

 

How Can Students Download Accessible Documents in via Ally in Canvas

  1. In CANVAS, next to the course files, there is a download icon.  

  1. Click the icon and select Alternative Formats from the dropdown menu.  

  1. A list of options should appear from which students can choose an alternative file to download. Download speed will depend on the file size.  

 

Depending on the type of document, students may find some or all of the options below available:  

 

  • An OCRed PDF, which is used to improve the text of scanned documents 

  • A Tagged PDF with improved navigation, especially if using a screen reader  

  • An HTML version that will adjust the text for your mobile devices 

  • An ePub version if you use an eReader or tablet 

  • An Electronic Braille version if you’re a braille reader 

  • An audio version for listening to an MP3

Students: The curricular materials you will need for your coursework are centrally located in the Universal Library. You also have a place to store your private files and a place where you can share files with others.

Kurzweil 3000 comes with a Classic Literature Collection of nearly 2,000 electronic texts from classics to legal and religious texts, and samples from The Cambium Learning Group's series, LANGUAGE!, Learning A-Z, and Passport Reading Journeys.

508 Compliance

Section 508 of the Rehabilitation Act of 1973 set Compliance Standards which require federal agencies to provide software and website accessibility to people with disabilities. When websites are 508 Compliant, they are accessible to all users, which means they are compatible with assistive technology, such as screen readers. 508 Compliance removes barriers from access for all Internet users, regardless of disability status. 

Current Status

Juilliard is in the midst of a comprehensive accessibility review. One of the goals of this project is to make the new site natively compliant with WCAG 2.0 and ADA Section 508.
