Faculty Employment Definitions

Studio Faculty

Studio Faculty members teach individual lessons to applied music majors in the College Music Division. Also included in this category are faculty members who teach chamber music to groups of students in the College Music Division.

Classroom Faculty

Classroom faculty members teach groups of students within a classroom and/or lecture setting in the College Division. Included in this category are vocal coaches, class piano teachers and all faculty members in the Dance and Drama Divisions.

Evening Division Faculty

Classroom faculty members are faculty members who teach groups of students within a classroom and/or lecture setting in the Evening Division. 

School Calendar

Calendar dates published three years in advance by the Registrar constitute faculty members’ periods of service to Juilliard. Studio faculty are contracted to give thirty hours of lessons to each assigned student per year, attend auditions and jury examination week. Classroom teachers meet with their classes fourteen weeks each semester and administer examinations during the fifteenth week. Grades are due to the Registrar on a date given each semester determined by the Registrar’s Office. No performance activities may be scheduled for students which conflict with the class examination week at the end of each semester.

Pre-College Academic Calendar

Calendar dates are released each spring and constitute faculty members’ periods of service to Juilliard. Studio faculty are contracted to give thirty hours of lessons to each assigned student per year, attend auditions and jury examination week. Chamber music faculty are contracted to coach a group weekly for 30 weeks and submit annual written evaluations of each student they coach. Classroom teachers meet their classes fifteen weeks each semester and are expected to participate in department meetings and administer examinations. Please see Appendix E for the current school calendar.

Faculty Contracts

Faculty contracts will be issued for periods of one, two or three years, depending on seniority and review by the President and Provost and Dean in consultation with appropriate Department Chairs and Division Directors. In the case of classroom faculty, only those assigned to an average of eight hours or more of classroom instruction per week will be eligible for multi-year contracts, regardless of seniority. Seniority is established as follows:

One-Year

One-year contracts may be issued to faculty members during the first three years of employment at Juilliard. Faculty members will be evaluated on a regular basis by the President and Provost and Dean in consultation with Department Chairs and Division Directors. Contracts will be renewed during the spring semester of each year. Notification of non-renewal of a one-year contract will take place no later than April 1.

Two-Year

Faculty members are eligible to receive contracts of two years in duration after completion of three years of employment at Juilliard. Two-year contracts may be issued to faculty members for years three through four and four through five; five through six and six through seven; and seven through eight and eight through nine. Faculty members will be evaluated during the fall semester of the last year of the term of the contract by the President, Provost and Dean, Department Chairs and Division Directors to determine eligibility for future contracts. Upon satisfactory evaluation during the last year of the third two-year contract, faculty members may become eligible for a three-year contract.

Three-Year

Three-year contracts may be issued to faculty members with nine or more years of employment at Juilliard. Faculty members will be evaluated by the President and Provost and Dean in consultation with Department Chairs and Division Directors during the last academic year of the term of the contract to determine eligibility for renewal.

Evening Division

Semester-long contracts are issued to Evening Division faculty members at the beginning of each semester. Faculty members will be evaluated on a regular basis by the Director and the Dean for Academic Affairs.

MAP

Faculty contracts are issued in August by Juilliard’s Human Resources Department to cover a period of twelve (12) months from July 1st to June 30th on a yearly basis for a specified number of actual teaching days. The dates of service for faculty include actual teaching days and days of attendance at MAP orientation, juries and entrance auditions, faculty meetings, concerts, and relevant recitals.

Contracts are guaranteed only for the academic year for which they are issued. Notification of non-renewal of contracts will take place no later than June 30th.

Notification of non-renewal for two- and three-year contracts will take place no later than November 1 of the last year of the contract year. This date for notification may be extended if, in the opinion of the President, Provost and Dean, Department Chairs or Division Directors, the faculty member is not then performing his/her teaching responsibilities up to acceptable standards.

After review by the President, a two or three-year contract may also be issued to faculty members who are judged to have attained distinction in their area of expertise and who warrant such status based upon past professional accomplishments.

Due to the nature of revenue sources and support of the Music Advancement Program, the Pre-College Division and Evening Division Programs, it is not possible to issue contracts longer than one year in duration to faculty members in these programs.

Evaluation

As determined by the President, Provost and Dean, Division Directors and the Faculty Chairperson, the evaluation process varies from department to department but may include evaluations pertaining to class visits by Department Chairs and Division Directors, written student evaluations, class/studio size, participation in departmental meetings, availability to students for advising and counseling and any other criteria necessary to determine the teaching effectiveness of the faculty member.

MAP Faculty

As determined by the Dean and Provost; the Dean of the Preparatory Division; the Artistic Director of MAP, and the Administrative Director of MAP, the evaluation process may include review of syllabus; class visits by any of the above or their delegates; review of course evaluations; consideration of class/studio size; review of participation in orientations and faculty meetings; deliberation of attendance at student recitals and concerts; availability to students as per mentoring; comments of parents/guardians; and any other criteria necessary to determine the teaching effectiveness of the faculty member.

Salary

Faculty salaries are reviewed by the President, Provost and Dean and appropriate Division Directors on an annual basis. Although an increase cannot be guaranteed each year, the intent of salary review is, at least, to maintain the studio faculty member at the same hourly rate as the prior year. In the case of classroom faculty, the annual compensation figure of the prior year may be maintained assuming that the number of teaching hours remains unchanged from that of the previous year.

Music students are assigned to major studio faculty in the College Division in a manner that results in a potential variation in the size of the studio faculty’s weekly teaching load. As a result, the following formula will be applied to studio faculty in the College Music Division who have taught eight or more hours per week in the College Division during the prior two years, when the number of students in the faculty member’s studio involuntarily decreases by 25% or more from one academic year to the next: an average of the faculty member’s studio size for the current year plus the two prior years of employment shall be used to determine the number of studio hours used for the calculation of the faculty member’s compensation for the current academic year. This salary adjustment formula can happen only one time during each contract period and may be used when considering an involuntary 25% decrease that occurs between two contract periods. Employment hours in other Divisions of the School (i.e. Pre-College, M.A.P. or Evening) will not be included in calculating this formula.

EXAMPLE: A studio music faculty member is assigned six hours of teaching in the 2017-2018 academic year. The teacher has taught 10 hours and 14 hours respectively on a weekly basis during the prior two academic years. The faculty member realized an involuntary decrease of 25% or more between the academic years 2016-2017 and 2017-2018. The formula is therefore activated in the following manner:

6 hours + 10 hours + 14 hours = 30 hours
30 hours  3 = 10 hours paid compensation during the 2017-2018 academic year

MAP Faculty

Faculty salary rates are reviewed on an annual basis by the Administrative Director and Dean of the Preparatory Division. The intent of salary review is, at least, to attempt to maintain the studio faculty member at the same number of students at the same hourly rate as the prior year. However, this is determined by enrollment and cannot be guaranteed. In the case of classroom faculty, the annual compensation figure of the prior year may be maintained assuming that the number of teaching hours remains unchanged from that of the previous year.

If a faculty member’s weekly teaching hours are reduced mid-year due to student withdrawal or other unforeseen circumstances, the faculty member’s pay may be reduced accordingly.

Payment Procedures

A contract in duplicate will be mailed to each faculty member. New faculty members will also receive the following forms, which should be completed and returned with the signed contract:

  1. Information Sheet

  2. W-4 Form

  3. I-9 Form

Please note that NO PAYCHECK WILL BE ISSUED UNTIL A SIGNED CONTRACT, COMPLETED I-9 FORM, AND CURRENT W-4 FORM HAVE BEEN RECEIVED.

Faculty members are paid on the last working day of the month for the nine-month period September through May. Full-time faculty members with fixed salaries can also choose to be paid over twelve months. Such requests should be directed to the Accounting Manager.

Salary amounts for studio teachers who are contracted on an hourly basis will be computed after September registration. The number of students multiplied by the teacher’s hourly rate multiplied by the number of academic weeks (usually 30) will determine annual salary. The total will be divided by the nine months of the school year; the same amount will be paid each month. Compensation for Chamber Music hours will be computed on the basis of 16 academic weeks and will be paid over the eight-month period October through May. Adjustments in the number of students or chamber music hours will be reflected accordingly in paychecks throughout the year.

Faculty members can choose to have paychecks mailed, held in the Payroll Office or deposited directly into a bank account. Please indicate a choice on the information sheet included with the new employee paperwork. If an employee chooses Direct Deposit, s/he will need to fill out the appropriate application.

Questions regarding paychecks should be directed to the Payroll Coordinator in Room 225, ext. 369.

Faculty Absences and Substitute Policy

Faculty members, both studio and classroom, are contracted to teach during each week of the school semester, and studio faculty are also expected to attend all juries and auditions. Any interruption of class or studio teaching, including the use of a substitute teacher, should be discussed in advance and with as much advance notice as possible with the Associate Dean and Director, Music Division or the Associate Dean for Academic Affairs.

Studio faculty members should notify the Associate Dean and Director, Music Division in advance of any absence of two weeks or more, and indicate how students will receive lessons during the time the teacher is absent. Each student is entitled to 30 lessons each school year. The regularity of lessons is essential for students’ development.

Studio and classroom faculty should consult with their Department Chair and the Associate Dean and Director, Music Division or Associate Dean for Academic Affairs prior to making arrangements with a substitute. All substitute faculty must be authorized to work in the United States.

In all cases, the substitute will be paid directly by Juilliard (faculty members should not pay substitutes themselves), will be required to fill out tax and employment forms with Human Resources, and will need to undergo a background check. Except in the case of illness, a deduction in the faculty member’s pay will be made.

Faculty members who become ill after the start of a semester and provide medical documentation to verify their inability to teach, will be paid in full for that semester. Further information regarding sick pay should be directed to the Director of Human Resources.

Evening Division Faculty

Any interruption of classroom teaching due to faculty illness should be discussed in advance or as soon as possible with the Director.

If a faculty member cannot teach a class and wishes to hire a substitute, he or she must inform the Director of the date and name of the substitute. The Director must be informed as soon as possible in-order to allow for a background check assessment to be made on the substitute. All substitute teachers must under-go a background check prior to engaging with students. Once a substitute’s background check has been completed it is valid for any repeat engagements.

The substitute will be paid by Juilliard through the Evening Division. The faculty member’s pay will then reflect the deduction of the class(es) missed.

MAP Faculty

MAP faculty members are allowed to miss a total of four (4) Saturdays in an academic year. All faculty members must inform their students and, in the case of private students, their student’s parent/guardian, regarding anticipated absence(s).

Faculty are required to provide a suitable substitute for all absences, preferably one who has taught or subbed for MAP in the past. For recommendations or suggestions, please contact the MAP office.

Faculty must notify the Administrative Director at least two (2) weeks in advance of the anticipated absence(s) by completing the MAP Absence & Substitute Form, available on MyJuilliard. The form requests the following information: the anticipated day(s) and class(es) to be missed; reason for the absence; the name, contact information, and state of residence of the substitute.

Faculty are expected to inform the substitute of their students’ curriculum prior to the lesson or class. New substitute teachers may need to complete personnel forms (i.e. W-2, I-9, etc.) with the MAP office and will be subject to a background check facilitated by the Office of Human Resources.

Please use one form per absence even if the same substitute is teaching multiple times.

In order to compensate the substitute, except in the case of illness, a deduction will be taken from the faculty member’s monthly paycheck at the faculty member’s regular rate of pay for the classes/lessons missed. Should a substitute not be secured, the faculty member’s monthly paycheck will still be deducted for the classes/lessons they missed.

Pre-College Faculty

Faculty members, studio, chamber music, and classroom, are contracted to teach during each week of the school semester. Pre-College faculty are limited to four absences each academic year. Faculty members who require more than four absences per year must gain approval from the Pre-College Administration.

Each student is entitled to 30 lessons and classes each school year. The regularity of lessons is essential for student development.

Faculty members must inform the Pre-College Office of all absences in advance, or as soon as possible in the case of illness, and provide the name and contact information for all proposed substitute teachers. This information must be submitted through the online Substitute Form. Chamber music and classroom teachers must provide a substitute for all absences. Studio faculty may choose to make up the missed lesson at a later time.

In all cases, the substitute will be paid directly by Juilliard (faculty members should not pay substitutes themselves), will be required to fill out tax and employment forms with Human Resources, and will need to undergo a background check prior to starting work. Except in the case of illness, a deduction in the faculty member’s pay will be made. As is the case with all faculty salaries, rates for substitute faculty are determined by the Juilliard administration. If you have questions or requests regarding a substitute rate, please discuss them with the Pre-College Administration directly and not with the substitute.

Leaves of Absence

An official letter of request should be sent to the Provost and Dean not later than January 15 of the school year preceding the requested leave. Normally, such leave will be for no more than one year, during which time the faculty member will not receive compensation from Juilliard.

If the faculty member was benefits eligible and covered prior to going on leave, the School will maintain their coverages, at pre-absence levels, for one semester. The faculty member will be responsible for all employee contributions. Other benefits (e.g. transit) will cease for the duration of the leave.

  • Maternity Leave
    Maternity leave will be treated as any other disability. Faculty members who cannot work due to disability will be given up to one semester of paid leave, depending on the period of disability. Requests for maternity leave should be made in writing to Human Resources.
  • Parental Leave
    Employees who have been employed at least six months will receive four weeks of paid leave, to be used at any time during the first six months after the birth or placement of the child. Requests for parental/adoption leave should be made in writing to Human Resources.

Emeritus Faculty

A faculty member who retires and who has rendered distinguished and meritorious service to the School, including noteworthy teaching and educational contributions and/or significant service to Juilliard, may be appointed Faculty Emeritus by the President or his designee.

The following are the rights and privileges of emeritus faculty:

  • You shall retain your Juilliard email address and access to My Juilliard;
  • You shall retain reading room privileges in the Juilliard Library, online access to digital databases onsite, and access to most digital databases offsite;
  • You shall retain an active Juilliard ID, which will grant you access to the main Juilliard building;
  • You shall have access to complimentary tickets to Juilliard performances, pending availability at the Box Office. To request tickets, please be in touch with Nicholas Saunders, Director of Concert Operations, at extension 235;
  • You shall retain the Juilliard Store discount of 15% on all merchandise (excluding textbooks and gift cards) when using your Juilliard ID.

Please note that Faculty Emerita do not retain room reservation privileges or permission to sign in guests; guests with tickets to Juilliard events must present their tickets to the ushers in order to enter the building.

Participation in Entrance Auditions, Juries, and Required Recitals

Participation in Entrance Auditions, Juries, and Required Recitals

All studio faculty members are expected to participate in students’ entrance auditions and juries. Since the dates for auditions and juries are published three years in advance, it is the responsibility of faculty members to arrange their own performance schedules so that their availability for auditions and juries is protected.

Studio teachers are expected to attend their students’ required recitals as a significant component of their instruction and relationship with students.

Reduction of Studio Size/Decrease in Class Size

The number of students registered in a studio at the end of the second week of a semester will determine the payroll amount for that semester. A student’s withdrawal from a studio after the second week of classes will not reduce the teacher’s compensation for that semester, and any un-used time should be divided amongst the other students. However, if the faculty member requests to have a student removed from her/his studio, that faculty member will be paid only for the lessons actually taught to the student.

If enrollment in a class, undergraduate or graduate, at the end of the Add-Drop period is fewer than five for a semester, the class may be cancelled. In such cases, the class teacher will be compensated in full for a one-semester class, and for the first semester, but not the second semester, of a full year class.

Use of Studios and Rooms

Room and studio assignments are made by the Office of the Registrar to best utilize the heavily used space at the School. Studio teachers are allotted space sufficient to teach each student once per week. Juilliard spaces are to be used only by members of the Juilliard community and for Juilliard-related purposes. Exceptions can only be granted by the Associate Dean and Director, Music Division. Space for make-up lessons will be arranged on an ‘as needed’ basis. Please notify the Registrar’s Office when assigned space is not being used so that the space can be given out as needed. Pre-College lessons should be given all day Saturday and weekdays only after 4pm.

Private lessons and other one-on-one instruction for Juilliard students must be taught in the Juilliard building only. This includes both regularly scheduled lessons and make-up lessons, and applies to both the college and preparatory divisions. Questions about this policy should be directed to the Office of the Provost and Dean.

Email

All Juilliard faculty members have been assigned an e-mail address through the Information Technology Department. Faculty members should check their Juilliard e-mail regularly since Juilliard communicates with faculty electronically and only via the faculty’s Juilliard email address. Public computer terminals are available for use in various locations around the building. If a faculty member is not familiar with using e-mail, s/he should speak to the IT Department, or the Faculty Assistant, located in the faculty lounge, for instruction. The IT Department is located in Room 248 and can be reached at extension 7121. The IT staff is available to assist faculty members with any computer related issues or questions, so please feel free to call on them.

Juilliard e-mail can be accessed from any electronic device with an Internet connection anywhere in the world. Instructions on how to access e-mail remotely can be obtained from the IT Department.

Piano and Harpsichord Moving

  1. All piano moving requests should be sent to the Director of Piano Maintenance at [email protected].
  2. Room to room requests must be received at least one week in advance of the desired date; list both the time and date for moving and returning the piano, and the location the piano is to be moved to along with the serial number if more than one piano is located in the same room.
  3. Piano moving within a classroom or studio is not permitted.
  4. Moving concert grands from room to room or to an external location requires professional piano movers.

Harpsichords may not be moved by faculty members or students. To arrange for a harpsichord to be moved, email notice to Historical Performance should be sent two weeks in advance.

Tuning

A=441 is the tuning standard for pianos at Juilliard.
